Prospectus for Exhibitors & Sponsors

The June 2018 EPICS Collaboration Meeting will be hosted at the Argonne National Laboratory's Advanced Photon Source (APS) near Chicago Illinois, from June 11-15. We are currently seeking exhibitors and sponsors to provide some financial support for this event, which will bring together well over a hundred EPICS users and developers from across the world for 5 days of talks, tutorials, demonstrations and development meetings.

The main meeting will run from 9am on Wednesday, June 13th to 12:30pm on Friday, June 15th (Monday and Tuesday are reserved for smaller working group meetings and workshops). We have allocated space in the programme on Thursday, June 14th for exhibitions and demonstrations; on this day all refreshments will be served downstairs in the APS Gallery, where commercial exhibitors are welcome to display and discuss their EPICS-related products and services.

Exhibition packages and sponsorships can be purchased through the meeting registration website, which is now open.

Exhibitors

Commercial exhibitors may purchase an exhibition package for $500 which includes the following:

  • Entrance to the meeting for 2 people on Thursday, June 14th.
  • One 10' × 10' space in the APS Gallery for exhibiting.
  • One table, 5' × 2' and two chairs.
  • Access to standard 110V mains power and wireless internet.

Additional attendees, space and/or furniture may be available on request in advance, for an extra fee. Exhibitors are welcome to attend meeting sessions, partake of break refreshments, and purchase tickets to attend the banquet on Thursday evening.

Note: The exhibition space will also be used for demonstrations of EPICS-related Open Source (i.e. non-commercial) software packages, and of experimental equipment that run EPICS-based control systems.

Exhibition Timetable, June 14th

Doors will open at 8:30am, with the first talk starting upstairs in the Auditorium at 9:00am. Exhibitors should aim to complete their setup before the first break in the programme at 10:30am. Lunch may be purchased from the 401 Grill adjacent to the exhibition space. The exhibition session will end at 4:00pm when the last afternoon session of talks begins.

The Small Print

Space assignments will be made on a first-come, first-served basis. Payment in full must be received at least 30 days prior to the event. No refunds can be made for cancellations. Exhibitor is responsible for their own materials and equipment at all times. Entrance into Argonne National Laboratory requires advanced registration and presentation of suitable identification documents, last-minute changes of registered attendees cannot be guaranteed.


Sponsors

We are offering three standard levels of sponsorship, with benefits as described below. Additional attendees beyond the number of registrations included below should be registered as regular meeting participants.

Bronze

Bronze-level sponsorship costs $250. Sponsors will be entitled to:

  • Full meeting registration included for 1 person.
  • Your logo and a link to appear on the meeting website.
  • Exhibition package available at half price ($250 instead of $500).

Silver

Silver-level sponsorship costs $500. Sponsors will be entitled to:

  • Acknowledgement at the welcome address on Wednesday morning.
  • Full meeting registration included for 2 people.
  • Your logo and a link to appear on the meeting website.
  • Exhibition package available at half price ($250 instead of $500).

Gold

Gold-level sponsorship costs $2,000. Sponsors will be entitled to:

  • Erect a self-standing banner inside the Auditorium for the duration of the meeting.
  • Acknowledgement at the welcome address on Wednesday morning.
  • Full meeting registration included for up to 5 people.
  • Your logo and a link to appear on the meeting website.
  • Exhibition package included at no extra cost.

Additional Opportunities

We are also open to sponsoring other parts of the meeting, such as the refreshments for participants at break-times on one or more days, or additional support for the conference dinner which will be held on Thursday evening at Chateau Orleans (Chuck's BBQ) in Darien.
